For instance, you can automate the Client Intake using tools like a Business Management platform such as Dubsado, Moxie, or 17 hats or a coaching platform such as Satori, Simply Coach or Coach Accountable. Automating client intake forms, agreements, and initial assessments can significantly enhance how you welcome new clients. Imagine collecting all the important information you need from a client at the time of them booking a call with you and having it all automatically go into your CRM. No more searching for where you put your notes or realizing you didn’t get all the information you needed to issue a proposal or contract. Once a client fills out a form, their data can be directly imported into your client management system without any manual input from you. And that’s another part of the onboarding process, digital signatures; once you send off a contract, your client signs it digitally, it comes right back to your system where you can sign it too and then attach it automatically to the client record, some systems will even send the client the final copy signed by you both. There are countless ways you can automate this part of the client onboarding process and what you can do will depend on the software stack you have chosen to help you administer the processes.

Imagine never having to manually enter client details again, or send the same introductory email over and over. Not only does this save you countless hours, but it also reduces the chances of errors. More importantly, it sets a professional tone right from the start, showing your clients that you value efficiency and organization.”

And yes, you can customize these tools to include necessary checkpoints where personal decisions or adjustments are needed.

Now some people, they’d rather stab their eyes out with forms than do bookkeeping and this is a great area to hand over to an accountant or bookkeeper if you have the budget. But if you don’t mind doing your own bookkeeping or are not yet in a position to farm it our, there are definitely ways to streamline this so it takes a small amount of time.

Accurate and efficient bookkeeping is critical for any coaching business. It helps you stay on top of your finances, understand your profitability, and make informed business decisions. However, manual bookkeeping is error-prone and can be incredibly time-consuming.

Thankfully, there are fantastic tools out there designed to automate your financial tracking. Software like QuickBooks Online, FreshBooks, and Xero can automate everything from invoice creation to expense tracking and even tax preparation. These platforms can sync with your bank accounts and credit cards to download transactions automatically, ensuring your books are always up-to-date without manual entry. All you have to do is send in the supporting paperwork or receipts and event this can be automated with some fancy forwarding rules in your in-box!

You’ll know exactly where you stand at any moment—how much you are earning, spending, and where you can optimize your expenses. This clarity is invaluable for growing your business strategically.

So, the last area I want to discuss adding some automation to is collecting and analyzing client feedback. Feedback is the lifeline of continuous improvement in coaching, providing insights that can shape your practice and enhance client satisfaction.

Regular feedback from your clients helps you understand what’s working, what’s not, and where you can improve. However, gathering and analyzing this feedback manually can be time-consuming and prone to oversight and the majority of the time it’s even forgotten about. Feedback in the form of testimonials is so crucial for a growing coaching business. Did you know that Companies that use testimonials on their website see a 34% increase in conversions? With those stats it’s more important than ever to collect feedback and testimonials. 

The simplest way to do this if you are not using a CRM with forms is using tools like Jotform or Google Forms; you can automate the process of sending out feedback forms immediately after sessions or at the end of a coaching cycle. If you are using a CRM such as Dubsado, Moxie or 17 Hats, or a Coaching Platform, these have forms in them you can create and brand to collect feedback and testimonials. Don’t forget to include a question asking permission to use the testimonials in your marketing as well as their name. You can set these to go out automatically after a certain milestone in their client journey, no need to wait until their coaching program is finished. This will give you the opportunity to address any developmental feedback they give you while you are still working with them.

Don’t just collect feedback—act on it. Automated systems can help you identify clients who may need additional support or those who could benefit from other services you offer. Setting up automatic alerts for certain types of feedback can prompt you to follow up personally, showing your clients that their input is valued and acted upon.
